Use Zoom AI Companion to Capture Team Meeting Action Items
What This Does
Zoom AI Companion automatically generates a written summary of team meetings — including key discussion points and action items — so you don't need to take notes during your shift huddles, QA reviews, or training sessions.
Before You Start
- You attend team meetings via Zoom (not in-person or via Teams)
- Your organization has a paid Zoom plan (Basic free plan does not include AI Companion)
- AI Companion must be enabled by your Zoom admin — check with your supervisor if you're not sure
Steps
1. Join your Zoom meeting normally
Nothing changes in how you join the call. Once in the meeting, look for a small sparkle icon (✨) or "AI Companion" in the toolbar at the bottom of the Zoom window.
What you should see: An "AI Companion" button in the meeting toolbar. If you're the host, you'll see options to start it. If you're a participant, it starts automatically when your admin has enabled it.
2. Let AI Companion run in the background
Once active, AI Companion records and transcribes the meeting (participants are notified). You don't need to do anything — just attend the meeting normally and focus on the conversation instead of taking notes.
3. After the meeting, find your summary
Within a few minutes of the meeting ending, Zoom emails you the AI-generated summary, or you can find it in the Zoom web portal:
- Go to zoom.us → Sign in → Reports → Meeting Summary
- Or check your email for a summary sent by Zoom
4. Use the summary
The summary includes:
- Key discussion topics (what was covered in each segment)
- Action items (who needs to do what)
- A full transcript (if your admin enabled it)
Paste relevant action items into your personal to-do list or notes app. Share the summary with absent teammates if needed.
Real Example
Scenario: Your team lead ran a 20-minute huddle covering 3 new policy changes, Q1 CSAT targets, and changes to the escalation process. Normally you'd try to scribble notes, miss half of it, and ask a coworker to clarify later.
With AI Companion: Meeting ends. You receive an email 5 minutes later: "Key topics: (1) New return policy for orders >$500 effective 4/1; (2) CSAT target raised to 4.6/5; (3) Supervisor escalation now requires ticket note before warm transfer. Action items: All agents review updated return policy in KB by Friday."
What you do: Add the policy review to your to-do list. Share the summary with the agent who missed the huddle.
Tips
- Even if your admin hasn't enabled AI Companion, you can manually record meetings (with host permission) and upload the transcript to Claude or ChatGPT for a similar summary.
- AI summaries are especially useful for QA coaching sessions — you'll have a written record of specific improvement areas to reference later.
- If you missed a meeting, the summary gives you the essential information in 2 minutes instead of needing a 20-minute debrief.
Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
